The Business Editing Process

Prepare the document for editing. The business editor confirms they have everything to complete the editing project, including supplementary materials. The editor then creates a working copy and files the original securely. The editor then completes a sequence of editing macros to make the document easier for thorough editing.
Preliminary Read. The editor conducts a quick read-through to find (1) areas of difficulty, (2) the overall organization, (3) the quality of writing, and (4) sections that require special attention and extra time. The editor also prepares the style sheet.
First Read. The first comprehensive read takes the longest; the editor reads very slowly and carefully. The editor evaluates each word (including business terminology and buzzwords), punctuation mark, gaps in logic, graphs, and sourced materials. Referencing the in-house style guide (or preferred style manual), the editor documents each decision on the style sheet.
Second Read. The second read goes faster and is where the editor can correct errors missed the first time, removes mistakes they unintentionally introduced, and conduct a final spell check.
The editor finishes the style sheet and writes the transmittal letter, which explains (1) what the business writer is receiving, (2) how to use the style sheet, and (3) delivers instructions for when to return the document for final cleanup.
Final cleanup. The editor reviews the document, notates which suggestions the business writer approved (or rejected), and updates the working copy. When complete, the editor returns a clean copy of the document, the edited version, and all supplementary material to the company. The manuscript is ready for distribution.
